We are looking for a Junior Office Manager in The Teresian School

The following duties and responsibilities are intrinsic to the role of Junior Office Manager in The Teresian School:

  1. Being present in the School each day from 8am-4pm Mon, Tues and Thurs and 8-3pm Wed & Fri during the academic year extending to the end of the State Examinations.
  2. Maintaining a clean, organised and clutter-free space in the front office.
  3. Monitoring and providing access to the School via the security and access systems.
  4. Greeting all visitors to the school in a warm, friendly, and professional manner and dealing with all queries appropriately.
  5. Logging of all visitor details.
  6. Ordering of supplies for the Pre, Junior and Secondary Schools including paper, stationary, milk, tea, coffee and biscuits and other items as required.
  7. Ordering of supplies for the Facilities Manager and/or other staff members as required once pre-approved by Senior Management.
  8. Sorting through and distributing post daily.
  9. Assisting the Junior and Secondary Secretaries and the Bursar with postage as required.
  10. Managing bookings for Meeting Rooms and setting up as required.
  11. Ensuring meeting rooms are in good order each day.
  12. Managing bookings for buses (or taxis) for tours, sports events and other events as required.
  13. Maintaining absolute confidentiality in all school-related matters.
  14. Organising of refreshments for visitors and meetings as required including ordering of refreshments.
  15. Taking charge of lost property – storage and organising regular follow up with students and redistribution at regular intervals.
  16. Regularly taking stock of staff room essentials such as cutlery and tableware and putting order on same during periods of school closure.
  17. Working with colleagues in the organisation, set up and assisting at any parent or fundraising events including but not exclusive to open days/evenings; plays, musicals and other school activities which require a collegial hands-on approach for the success of the event.
  18. Contributing in a positive and enthusiastic manner to the life of The Teresian School community.
  19. Upholding the policies and ethos of The Teresian School at all times and working in co-operation with other staff members to advance and promote the educational ethos of the school.
  20. Any other reasonable duties as requested by the Principals and commensurate with the role.

Prior to commencing in the role the below is a prerequisite:

  • Confirmation of a Vetting Disclosure from the National Vetting Bureau of an Garda Síochána prior to the commencement of employment, and pursuant to the provisions of Primary Circular 0031/2016.

It is a fundamental term of your employment that you have made full, accurate and appropriate disclosure in reply to questions asked or information sought during the recruitment process relating to any child welfare/protection issues.

  • Completion of the Tusla Children First E-Learning Programme and compliance with Child Protection procedures as laid out in the Child Protection Procedures for Primary and Post-Primary Schools 2017.
